Each letter stands for an instruction, and the instruction is a period of retention.
- R DIS — RETAIN, kept PERMANENTLY
- D DIS — DESTROY, destroyed after 10 YEARS
- K DIS — KEEP, destroyed after 3 YEARS
- L DIS — LODGE, destroyed after ONE YEAR
- N DIS — sent out IN ORIGINAL
- आर डिस — रिटेन, स्थायी रूप से रखा जाता है
- डी डिस — डिस्ट्रॉय, 10 वर्ष बाद नष्ट
- के डिस — कीप, 3 वर्ष बाद नष्ट
- एल डिस — लॉज, एक वर्ष बाद नष्ट

WHAT THE CLERK DOES AT DESPATCHप्रेषण पर लिपिक क्या करता है
The clerk must see that the despatch has been correctly made, and that reminder dates are noted in the REMINDER DIARY.
- For an INTERIM reference, the draft after issue is added to the current file, PAGE NUMBERED, and the file kept in the shelf
- For a FINAL DISPOSAL, the file is arranged with the NOTE FILE FIRST and the CURRENT FILE after it
- On the outside of the disposal jacket are boldly marked the department and office, the nature of disposal, the pages and the year
- The BACK FILE referred to is noted INSIDE the jacket, and a FORWARD NUMBER is noted on the disfile taken for reference

- जिस बैक फाइल का संदर्भ लिया गया वह जैकेट के भीतर लिखी जाती है, और संदर्भ में ली गई फाइल पर अग्रांक लिखा जाता है

WHY THE RECORDS SECTION EXISTSअभिलेख अनुभाग क्यों है
Old records hold important orders, decisions and valuable registers, and they must be arranged and kept in one section.
- Kept at the respective seats, such documents WOULD BE LOST
- Even if found, A LOT OF TIME would be wasted searching for them
- Keeping disposals at the same seat would also need A LOT OF SPACE
- अपनी-अपनी सीटों पर रखे जाने पर ऐसे दस्तावेज खो जाएँगे
- मिल भी जाएँ तो उन्हें ढूँढ़ने में बहुत समय नष्ट होगा
- निपटान उसी सीट पर रखने से बहुत स्थान भी चाहिए

THE OBJECT AND THE SHAPE OF AN INDEXअनुक्रमणिका का उद्देश्य और रूप
The object of INDEXING is to enable one to trace papers containing orders passed on any particular subject.
Index slips on all important orders are CONSOLIDATED ANNUALLY and typed or printed.
- An index contains a HEAD, a SUB HEAD and a TITLE
- The HEAD is selected from the APPROVED LIST of standard heads given in the manual
- The head must be a word that WILL NATURALLY OCCUR to you when you want the paper
- CONSISTENCY is essential, and even badly chosen heads do no harm so long as they are consistent
- After the head and sub head come LOCAL CLASSIFICATION and then the TITLE
- BREVITY is the merit of a title, and a title is good if it gives the message at a glance
- अनुक्रमणिका में शीर्ष, उपशीर्ष तथा शीर्षक होते हैं
- शीर्ष नियमावली में दी मानक शीर्षों की अनुमोदित सूची से चुना जाता है
- शीर्ष वह शब्द हो जो उस कागज की आवश्यकता पड़ने पर आपके मन में स्वाभाविक रूप से आए
- संगति अनिवार्य है, और शीर्ष गलत चुने जाएँ तब भी संगति रहे तो हानि नहीं
- शीर्ष और उपशीर्ष के बाद स्थानीय वर्गीकरण और फिर शीर्षक आता है
- संक्षिप्तता शीर्षक का गुण है, और शीर्षक तब अच्छा है जब वह एक दृष्टि में बात कह दे
